Works directly with Financial Account Manager and will be responsible for performing several administrative duties.


  • Schedule meetings and appointments
  • Manage schedule and acts as liaison, Manage hard deadlines weekly.
  • Manage Accounts Payables
  • QuickBooks, Code bank feeds and credit card downloads
  • Manage Corporate Account Receivables and billing reconciliation
  • Coordinate communications including taking calls, responding to emails, interfacing with stakeholders
  • Timely prepares and distributes to direct reports and other concerned interests, corporate quality correspondence which included applicable reports
  • Provide results from research regarding prospects, vendors, or other stakeholders as needed
  • Photocopying, faxing, creating labels, organizing, etc., as needed
  • Checks voicemails, emails, group chats daily
  • Prepare and organize documents for meetings
  • Manage Office Supplies inventory
  • Arrange meetings and events internally and externally ¬†
  • Maintain electronic files and keep up to date
  • Prepares reports, presentations, and data
  • Performs personal services for assigned Executives as needed to maximize Executives daily accountabilities and responsibilities
  • Upholds a strict level of confidentiality
  • Has decision authority for preassigned accountabilities on behalf of Financial Account Manager and applies discretionary measures accordingly
  • Perform all other duties as assigned

Skills & Qualifications

  • Minimum of 10+ years of experience as an Executive Assistant reporting directly to management
  • Dependable -- more reliable than spontaneous
